The customer
Ferro S.r.l. is a plumbing contractor based in Turin. Martina handles the admin and operational coordination: delivery notes, site accounting, information from technicians and daily scheduling.
In their line of work, handovers between technicians are critical. One plumber may start a job, work on it for a few days, then get pulled away to an emergency. Whoever takes over needs to understand immediately what's been done, what's missing and what materials are needed.
The challenge
Before archim, Ferro didn't do site reports at all. For delivery notes and site accounting they used a simple Excel file. That part wasn't necessarily slow, but there was no single place to track what had actually been done on each site.
Photos helped, but they weren't enough. Technicians could photograph where they'd left off, but often more detail was needed: what stage the work was at, what was missing, what extra material to bring, what size an opening was, what fittings were actually there.
Martina describes it concretely: "It was frustrating because maybe another plumber had to take over and didn't know where they'd got to, didn't know if extra material was needed." The result was time lost in communication: WhatsApp, phone calls, morning briefings, constant back-and-forth to reconstruct the real state of the site.
In some cases the problem became material. Not installation errors — whoever arrives on site always checks — but errors in bringing the right materials. Martina mentions the wrong boiler, when a photo didn't clearly show the connections and they had to go back.
The solution
Ferro discovered archim through word of mouth. A nearby company owner who was already using it recommended it to Ferro's owner and showed it to Martina by logging in with his own credentials. That hands-on demo was enough to make her see it could work for them too.
Going live was fairly quick. They waited about a month because Martina wanted to start on a new site, so the system could be used properly from day one with a complete project inside archim.
The results
Today Ferro uses archim on two fronts. On one hand, delivery notes are logged so Martina can see how much is being spent on each site and retrieve linked materials. On the other, site reports serve as an operational tool: technicians write almost daily what they've done and what's missing.
For Martina, this has changed above all the way she organizes work. "I handle the coordination, so I check archim and see from the reports. The team writes what's missing on a site and from there I plan the days." In practice, the information coming from the field drives decisions about where to send technicians the next day and what they need to bring.
The benefit shows clearly in one episode. Ferro had to return to a site in Lombardy where a technician had been months earlier. He couldn't remember the dimensions of the openings that needed covering with vents. Fortunately, that measurement had been written in the site report. The office was able to buy the right material before leaving. Previously they would have had to go on site, re-measure, and buy the material the same day.
