The customer

ROCK VAL Srls is a company based in Aosta, Italy. Mauro Arena is the owner, while Omar runs the administrative and accounting side. One of the office's most delicate tasks is keeping site hours in order across different jobs: daily reports, attendance, activities performed and data to be stored accurately. For ROCK VAL it wasn't about digitising the entire site workflow. The need was more concrete: remove paper, re-typing and uncertainty from the day-to-day management of hours.

The challenge

Before archim, the process was entirely paper-based. Omar prepared and printed weekly or monthly tables, then dropped them off at the warehouse. At the end of each shift the foreman came by and noted where the workers had been, how many they were and what they had done. Then the second job began: reworking those sheets and re-typing them into Excel, to keep everything on the PC. Omar estimates about two hours a week just for that. The problem wasn't only the time. The real friction was the reliability of the source. Those sheets were the only place the information was recorded. If a sheet was lost, a note was incomplete or something couldn't be read clearly, the office had no other data to fall back on. "As soon as I spotted a small inconsistency or anything I couldn't read clearly, I had to run to the foreman as soon as possible," Omar recalls. The reason was simple: the more time passed, the harder it became to reconstruct exactly what had happened.

The solution

The push came from a few episodes of inconsistency between daily reports and paper, and from the wish to clean up a process that was still too manual. Mauro knew that other nearby companies were already using management software, but up to that point paper had remained the most familiar route. With Omar on board, the admin side was taken in hand with the goal of bringing more order to several processes. Managing daily reports was one of them. When they tried archim, the start was quick. ROCK VAL was already operational during the trial week, also because the initial use was very focused: tracking hours and daily reports. The foreman kept filling in, but no longer on the warehouse sheet: straight from the app.

The results

The most immediate change is that the data no longer depends on physically dropping by the warehouse. If the foreman can't fill in right away, he can do it in the evening from home. If he needs to correct something, he tells the office, and the edit stays under the admin user's control. For Omar, this has removed a big chunk of administrative friction. Hours can be exported, dropped into Excel and summed more easily. Turnaround is shorter, even if a precise new number after adoption isn't given in the interview. The strongest point, however, is peace of mind. "We have the certainty and peace of mind that for daily reports, hours and sites everything is precise and well defined." For a company that has to keep things tidy also for site compliance purposes, cleaner data is no minor detail. Omar is also clear on what archim changes and what it doesn't: the physical work on site stays the same. The real benefit is in the office. "On the admin side, it's absolutely essential. It has made the work — and the time it takes — a lot simpler." One thing that positively struck him is how simple the portal is: he describes it as fluid, intuitive, versatile and snappy. For him, compared with many institutional portals he uses every day, archim is much further ahead in layout and responsiveness.
